Gmail is a free email service provided by Google. Gmail was launched on April 1, 2004.

1. Schedule mail

If you are working with team members in different time zones or going on vacation but still want to send an update to someone when you’re away.

Gmail helps you can compose your email and schedule it to send at a specific date and time.

Note : You can have up to 100 scheduled emails. Confidential mode messages can’t be scheduled to send later.**

How to Schedule mail

  • Open Gmail
  • At the top left, Click Compose “+” and enter a recipient and text.
  • At the bottom, next to Send, click the Down arrow Drop down arrowand thenSchedule send.
  • Select or specify a date and time to send the message.

2. Confidential mode

You can send messages and attachments with Gmail’s confidential mode to help protect sensitive information from unauthorized access.

Recipients of the confidential message will not have options to forward, copy, print, and download.

You can use confidential mode to set an expiration date for messages or revoke access at any time. Once expiration date has passed the Recipient will not be able to view the content of the email.

Along with expiration date, you can also set SMS passcode for highly sensitive information. Recipients will get a passcode by text message and need to enter a passcode to open the email.

Note : Confidential mode doesn’t prevent recipients from taking screenshots or photos of your messages or attachments.

How to use Confidential mode

  • Open Gmail
  • At the top left, Click Compose “+” and enter a recipient and text.
  • At the bottom right of the window, click “Turn on confidential mode”.
  • Set an expiration date and passcode. These settings impact both the message text and any attachments.
    • If you choose “No SMS passcode,” recipients using the Gmail app will be able to open it directly.
    • If you choose “SMS passcode,” recipients will get a passcode by text message. Make sure you enter the recipient’s phone number, not your own.
  • Click Save

3. Preview Pane

If you want the ability to view your email messages without opening it, you can use Preview Pane to view your messages side by side with the message list.

How to Turn on preview pane

  • At the top right, click Settings > See all settings.
  • On the top, select the Inbox tab and then scroll to Reading pane.
  • Check the “Enable reading pane” box.
  • Select your split pane mode:
    • No split
    • Right of inbox
    • Below inbox
  • At the bottom, click Save changes.

4. Snooze

If you want to Postpone emails and temporarily remove them from your inbox until you need them.

Your email will come back to the top of your inbox when you want it to, whether that’s tomorrow, next week, or this evening.

Note : You can find your snoozed items under Snoozed in the Menu or You can also search “in:snoozed”.

How to use Snooze

  • Open Gmail
  • Point to the email.
  • Right click on the email, select Snooze option
  • Choose a later day and time to get the email.

5. Undo Send

After sending an email, suddenly you decide you don’t want to send that email or make minor changes to the email and send it you have a short time after to cancel it.

How to use Undo Send

  • In the bottom left, you’ll see “Message sent” and the option to “Undo” or “View message”.
  • Click “Undo” to recall the email

By default the notification stays on your screen for 5 seconds, but if you want to increase the time limit -

  • In the top right, click Settings > See all settings.
  • Next to “Undo Send,” select a Send cancellation period of 5, 10, 20, or 30 seconds.
